There are four paths: approval; attachment request; claim that credits were used; denial based on timing or policy. In every case, keep the case record and answer the specific reason without adding unrelated demands.

Think of it as… a road diversion: you do not abandon the destination; you choose the next exit based on the sign you receive.

Under the hood

If usage is alleged, request transaction-level allocation. If validity is clarified but the refund is denied, record the explanation and decide separately whether to accept it. Banking or legal escalation needs independent assessment and must not be automated.
